How this calculator works

The chain is one multiplication after another — nothing hidden:

gal/day = burn (gal/hr) × run hours · gal total = gal/day × days · cost = gallons × $/gal

Every bit of judgment lives in the burn rate. The dropdown’s per-machine figures are rough planning numbers for mid-load work — not manufacturer specs, not measurements, and not tied to any one model. Real burn moves with load factor more than anything else: the same excavator might burn a third of its working rate while idling and half again more in hard digging. Run hours matter the same way — a machine on site 8 hours rarely works 8; many estimators plan fuel on 60–75% of clock hours plus idle burn. If you have telematics averages or fuel-ticket history for your own iron, use those numbers instead of the presets — that is what the Custom entry is for.

Worked example

A mid-size excavator on a two-week (10 working day) utility job, 8 run hours a day, diesel at $4.00/gal, using the 4.0 gal/hr planning figure:

  1. Daily burn: 4.0 × 8 = 32 gal/day, costing 32 × 4.00 = $128.00/day.
  2. Project: 32 × 10 = 320 gal = $1,280.00.
  3. Sensitivity: the same job at a heavy-dig 5.5 gal/hr is 440 gal / $1,760 — a 37% swing from load factor alone, which is why the burn rate deserves more attention than the arithmetic.

Run hours — the time the engine is actually turning, not the length of the shift. A machine on site for a 10-hour day often logs well under that on the hour meter between staging, waiting, and moves. Hour-meter readings or telematics from your own fleet are the best source; if all you have is shift length, discount it and note the assumption in your estimate.

Where do the preset burn rates come from?

They are typical mid-range diesel figures for each machine class — the kind of numbers used for mobilization and fuel planning, not measured values for any specific model or duty cycle. The moment you edit the burn field the calculator switches to Custom, and the best long-term move is exactly that: divide your fuel tickets by your hour-meter readings and enter your real rate.

How do I estimate fuel escalation or a fuel surcharge for a bid?

Start from the project gallons this calculator gives you: total gallons × current price is your baseline fuel cost, and total gallons × each dollar of price movement is your exposure to escalation. On longer jobs, contractors typically either carry a contingency against that exposure or tie the contract to a published fuel index — either way, the gallons figure is the number you need first.

Method: gallons = burn rate × hours × days, cost = gallons × price — the math is exact; the burn rate is not. The preset rates are planning heuristics with no citation behind them, and they are the number to challenge first when a fuel budget matters: pull your machines’ telematics averages or divide fuel tickets by hour-meter readings for a rate that is actually yours. The calculator prices fuel only — DEF, lube, transport fuel for the lowboy, and generator/light-plant support burn are separate lines, and fuel-price risk on long jobs is its own decision (escalation clause, surcharge, or carried contingency).
